How to choose a POS system for a small business (2026 checklist)

A 10-point checklist for choosing a POS system for a small business, from trade features and payment processing to languages, tax and switching costs.

The short answer: choose the POS that already does what your trade needs, works with a payment processor you are free to choose, runs in the language your staff speak, and shows you the full monthly price before you talk to a salesperson. Everything else is detail.

There are about 36.2 million small businesses in the United States (SBA Office of Advocacy, 2025 Small Business Profiles), and most of them will buy a POS more than once. Here is the checklist we use on demos, in the order that saves the most time.

1. Does it do what your trade does?

Write down the five things that happen at your counter every hour. A restaurant: seat a table, fire a course, split a check, take a tip, send a ticket to the kitchen. A nail salon: book a technician, sell a package, pay commission. A hardware store: look up one of 30,000 items, sell by the foot, put a contractor on account.

Then check each one in the software, not on the feature list. General-purpose POS apps often support a trade feature only on a higher plan, per location. A trade edition starts with them.

2. Who processes the cards?

Some POS systems only work with their own payment processing. That is convenient on day one and expensive to leave. Others work with your own processor. Ask:

  • Can I keep my current processor?
  • If I change processors next year, do I have to change the POS?
  • Are card readers bought from the POS vendor, or from my processor?

3. What is the real monthly price?

Add up, per location: the software plan, any add-ons for your trade, extra registers, the website and marketing tools you will need, and processing. Our savings calculator does this sum for the USA, the UAE and Pakistan.

4. Does it speak your staff’s language?

About 22% of people aged 5 and over in the US speak a language other than English at home (U.S. Census Bureau, ACS 2018–2022). If your cashier reads Spanish, Vietnamese or Urdu more comfortably than English, training is faster and mistakes are fewer in their language. Check that each user can choose their own language and that receipts can print in the customer’s.

5. Does it handle your taxes?

US sales tax combines state and local rates; UAE VAT should be included in displayed prices; Pakistan separates federal tax on goods from provincial tax on services. A good POS stores several rates, combines them into groups and lets you mark prices as tax-inclusive or exclusive. See multi-country POS.

6. What hardware does it need?

Prefer software that runs on standard tablets and PCs and works with standard thermal printers, barcode scanners, cash drawers and label scales. See the hardware guide.

7. How will you sell online?

At minimum you want an online store that reads the same catalogue and stock as the counter. If you need a real website for your trade, compare the cost of a managed website against building one yourself.

8. How hard is it to switch in, and out?

Ask for the import template before you buy. If products, customers and stock come in from a spreadsheet, you can move in an afternoon. Also ask how you get your data out.

9. What is the contract?

Monthly with no contract is the safest for a small business. Annual billing with a clear discount is fine if you can cancel at the end of the year.

10. Who answers when it breaks?

Check support hours in your time zone, the channel (phone, email, WhatsApp) and whether support speaks your language.

Putting it together

Score each POS on the ten points, then book demos with the top two and run a real shift on a trial. If you want a head start, the edition finder ranks SmartPOS editions for your trade, and the comparison table lays all 21 side by side.

Questions about this guide

  1. 01What is the most important thing when choosing a POS?

Whether it handles the way your trade sells without add-ons. A salon needs bookings and commission, a grocer needs scales and PLU codes, a garage needs work orders. Start there, then compare price.

  2. 02Should my POS and card processing come from the same company?

Not necessarily. A POS that works with your own processor lets you change processors or negotiate rates without changing the system your staff use every day.

  3. 03How long should a POS trial be?

Long enough to run real shifts. Fourteen days usually covers two busy weekends, which is when problems show up.

  4. 04What hidden costs should I look for?

Per-location add-ons for features you assumed were included, processing rate differences, hardware you must buy from the vendor, contract length and fees for extra registers.
